The following document sets forth the Privacy Policy for Manage It’s Self Manager website, http://selfmanager.com.au.

Manage It, Pty Ltd. is committed to providing you with the best possible customer service experience. Manage It is bound by the Privacy Act 1988, which sets out a number of principles concerning the privacy of individuals.

 

What Information we collect

In order for the Self Manager online system to function to its intent, sensitive information about your Organisation, including payment information, will be collected by Manage It once your Organisation signs up to use the system.

Your clients’ sensitive information will be entered into the Self Manager database system by authorised representatives in your Organisation or by your clients themselves. The information collected includes personal details, address details, contact details, and other details pertaining funding entitlements and service requirements.

Through the use of the Service, Manage It may also collect information from You about someone else. If You provide Manage It with personal information about someone else, You must ensure that You are authorised to disclose the information to Manage It and that, without Manage It taking any further steps required by applicable data protection or privacy laws, Manage It may collect, use and disclose such information for the purposes described in this policy.

This means that You must take reasonable steps to ensure the individual concerned is aware of and/or consents to the various matters detailed in this Policy, including the fact that their personal information is being collected, the purpose for which that information is being collected, the intended recipients of that information, the individual’s right to obtain access to that Information, Manage It’s identity and how to contact Manage It.

 

How information is used

The contact information and payment information for your Organisation is used by Manage It for billing  purposes only.

The information entered is primarily used to assist in the management and monitoring of funding and services allocated to people with disabilities (your clients). Disability Service Providers (your Organisation) may access this information if they are managing funds for their clients in a shared or plan managed arrangement. This information is privately accessed and used by your Organisation and your clients only, as per your signed Service Agreements.

 

Access to information

Sensitive information stored on the Self Manager database system is privately accessed and used by your Organisation and your clients as per your signed Service Agreements. Organisations and clients are issued their unique, private login details to access the information stored on Self Manager, and your Organisation and its clients agree on the degree of access your Organisation has to the clients’ information. Users of the Self Manager system ultimately have the ability to edit, erase, and manage all their information as they please.

Manage It can, upon the request and with authorisation from the Organisation or client, access the information stored on their Self Manager database to provide support and solve any technical problems related to using the Self Manager system. Manage It’s representatives will maintain strict confidentiality at all times and will never access your Organisation’s client details unless it is specifically requested by your authorised representatives.

 

How information is stored

All information contained on the Self Manager system is stored securely on Manage It’s servers and backed up daily. The information is encrypted via an SSL certificate and robust security measures are in place, such as a password strength check, a lockout functionality for multiple unsuccessful login attempts, automatic logout following inactivity, and an email password retrieval, to prevent hacking and information theft from Self Manager’s users. The information on Self Manager’s database is continuously backed up on servers in multiple locations, ensuring that no information is lost should one server unexpectedly go down. It is expected that your Organisation has additional security measures in place, such as procedures for password change frequency and administrators’ access to client passwords. Manage It recommends that these procedures are incorporated in your Organisations’ Service Agreements with your clients.

 

How information is distributed

The information stored on the Self Manager database system will remain strictly private and will not be shared, except in cases where parties have the authority to request such information for auditing or other legal purposes.

 

Changes to this Privacy Policy

Manage It reserves the right to make amendments to this Privacy Policy at any time. Its current version at any time can be found at: www.selfmanager.com.au. If you have objections to the Privacy Policy, you should not access or use the Self Manager system until your concerns have been addressed.
